1. Who these terms are for
These terms apply to GYMTROX Business, the app used by gym brand owners, branch managers, trainers and front-desk staff. If you are a gym member using the GYMTROX app, the terms that apply to you are at gymtrox.com/terms instead. There is no public sign-up here: your account is created for you by your gym’s brand owner, and by signing in you accept these terms.
2. Your account
Your account belongs to the gym that issued it, not to you. Your brand owner sets which branches and features you can reach, and may change or withdraw that access at any time — including when you leave. Keep your password and staff PIN to yourself: anything done with your account is treated as done by you. Tell your brand owner immediately if you think someone else has used it, and use My profile → Linked devices to sign out any handset you do not recognise. You must be 18 or older to hold a staff account.
3. Member data you handle
The app gives you access to real people’s personal data — names, contact details, photos, payment history, and, where your gym records them, health details such as body measurements and medical notes. That data belongs to the gym. You may only look up a member when you have a business reason to, may only use what you find to do your job, and must not copy, export, photograph or share it outside the app. Do not enter health or medical information a member has not given you. Misuse of member data is a matter for your gym and may also be unlawful.
4. Health features are not medical advice
The app records body measurements, calculates a BMI, and lets staff with the right role write a member a nutrition plan. GYMTROX is not a medical device: it does not diagnose, treat, cure or prevent any medical condition, and nothing produced in it is medical advice. Anything you record or prescribe is your gym’s own professional judgement, offered under your gym’s responsibility and insurance — not ours. Members with a medical condition should be referred to a qualified clinician.
5. Payments and records
GYMTROX Business records payments handed over in person at the counter. It does not process card payments and never sees card numbers. Take payments, issue receipts and make reversals in line with your gym’s own policy; the app records what you tell it, and the accuracy of those records — and of the invoices, expenses and cash-shift figures built from them — is your gym’s responsibility. Online payments made by members are handled elsewhere, in the member app, and are only shown here.
6. Messaging members
Reminders sent through the app, and messages you send from your own WhatsApp using the app’s shortcut, must relate to the member’s membership. Do not use member contact details for marketing they have not agreed to, or for anything personal. A WhatsApp message leaves GYMTROX entirely and is sent from your own account, under WhatsApp’s terms.
7. Availability and offline use
We aim to keep the service running but cannot guarantee uninterrupted access. The app is built for front desks with unreliable internet: check-ins and counter sales taken offline are queued on the device and sent when a connection returns. Queued items are held on the handset until they sync, so do not wipe or hand on a device with unsynced takings on it.
8. Ending your access
Your brand owner can remove your account at any time in the GYMTROX dashboard, and access ends immediately when they do. You can ask for your own account to be deleted from inside the app at My profile → Delete my account, or by writing to privacy@gymtrox.com. What is removed and what your gym must keep is set out at gymtrox.com/business/delete-account.
9. Liability and changes
GYMTROX provides the software; your gym runs the gym. We are not responsible for how a gym uses the app, for the accuracy of what its staff enter, or for business decisions taken on the strength of a report. We may update these terms as the app changes, and will tell you in the app before material changes take effect. Questions: legal@gymtrox.com.
