10 Gym KPIs Every Owner Should Track Weekly

A busy gym can look successful while quietly losing members and revenue. A crowded Monday evening does not tell you whether renewals are falling, classes are underused or one branch is carrying the rest of the brand.
The right gym KPIs turn daily activity into decisions. You do not need fifty charts. Start with ten numbers that explain growth, retention, attendance and revenue.
1. Active members
Formula: members with a currently valid access membership.
Active members is the clearest measure of your paying base. Track the total and the weekly change. A growing lead list means little if the active-member count is shrinking.
2. New memberships sold
Count new paying memberships separately from renewals. This shows whether marketing and sales are adding customers rather than only maintaining the existing base.
Compare new memberships by package, channel, branch and staff member where appropriate.
3. Renewal rate
Formula: memberships renewed ÷ memberships eligible to renew × 100.
Renewal rate is one of the most important gym dashboard metrics. A small improvement can produce more predictable growth than continuously replacing members who leave.
4. Churn rate
Formula: members lost during the period ÷ members at the start of the period × 100.
Define “lost” consistently. Some gyms count a member as churned on the expiry date; others allow a short recovery window. Use one rule across every branch.
5. Members expiring soon
Track memberships ending today, within seven days and within thirty days. This is an action list, not merely a report.
Your team should know who needs a reminder before the member becomes a churn statistic.
6. Net membership revenue
Track new package sales, renewals, discounts, refunds and other adjustments to understand the amount the gym actually retains.
For multi-branch brands, compare each branch with its own prior period as well as with the network total.
7. Average revenue per active member
Formula: membership and member-related revenue ÷ active members.
This KPI helps explain whether growth comes from more members, higher-value packages or additional services such as personal training.
8. Attendance frequency
Formula: total member check-ins ÷ active members.
Low attendance can be an early warning for churn. Members who stop visiting often stop renewing later. Segment members with declining attendance for a supportive re-engagement campaign.
9. Class and trainer utilization
Class utilization: booked or attended spots ÷ available capacity.
Trainer utilization: booked trainer hours ÷ available trainer hours.
These numbers show whether schedules match demand. A full class may need another slot, while repeated low attendance may require a different time or format.
10. Secondary revenue
Track revenue beyond memberships: personal training, classes, supplements, apparel, café sales and online purchases.
Measure total revenue, order count and average order value. Secondary revenue can improve profitability without increasing floor capacity.
How to review gym KPIs every week
Use a short owner or manager meeting with the same structure:
Review the current value and change from last week
Separate new sales from renewals
Identify the branch, package or service driving the change
Assign one action with an owner and deadline
Check the result at the next meeting
A KPI without a decision is decoration. If expiring memberships rise, assign a renewal campaign. If class utilization falls, adjust the timetable or instructor mix.
